• Use instructions given at the official website https://icestconf.org/2016/01/10/instructions-for-authors/ as the template where you can type or copy your paper. The final paper must comply with the template.
  • Use the A4 format. DO NOT use the US Letter format and do not paginate your paper.
  • Regular papers can be up to 6 pages in length (max). Invited papers can be up to 10 pages in length (max).
  • DO NOT place numbers at the bottom of the page.

I.    Add Copyright Information to the First Page of the Paper

The appropriate copyright notice is to appear on the bottom of the first page of each paper according to the guidelines set forth for an IEEE Conference Publication. Please, put the appropriate copyright notice instead of the existing one in the footer of this template by using one of the following:

  • For papers in which all authors are employed by the US government, the copyright notice is: S. Government work not protected by U.S. copyright
  • For papers in which all authors are employed by a Crown government (UK, Canada, and Australia), the copyright notice is: 979-8-3195-4340-0/26/$31.00©2026 Crown
  • For papers in which all authors are employed by the European Union, the copyright notice is: 979-8-3195-4340-0/26/$31.00©2026 European Union
  • For all other papers the copyright notice is: 979-8-3195-4340-0/26/$31.00©2026 IEEE

II.    Check Your Final Paper

A.    Before Creating a PDF
  • Add the copyright notice to the bottom of the first page of our source document. If necessary, contact Organizing Committee at icest@elfak.ni.ac.rs for the appropriate copyright notice.
  • Proofread your source document thoroughly to confirm that it will require no revision.
B.    Creating your PDF eXpress Account

Use PDF eXpress to verify the PDF file of the paper for IEEE-compliance before submission. Papers that are not IEEE-compliant will not be included in the proceedings nor published.

Log in to the IEEE PDF eXpress® site

First-time users should do the following:

  1. Create Account
  2. Enter the following:
  • 71230X for the Conference ID
  • your email address
  • a password
  1. Continue to enter information as prompted.

An Online confirmation will be displayed and an email confirmation will be sent verifying your account setup.

Previous users of PDF eXpress need to follow the above steps but should enter the same password that was used for previous conferences. Verify that your contact information is valid.

C.    Renaming your PDF File for Submission

The certified acceptable file you receive from PDF eXpress will be given a filename in the form PID123456.pdf. Upload the file obtained from PDF eXpress.

III.    Sign the Copyright Form for Each Paper

If a paper has been selected for publication in ICEST 2026 (including invited papers and special sessions), the authors of the paper have to submit a Copyright Form, necessary for the inclusion of the paper in the proceedings of the conference, published by IEEE. The ICEST conference uses the IEEE Electronic Copyright Service (eCF). The paper cannot be published in the proceedings if the form is not properly completed.

Аll the necessary information on how to properly fill in and submit a copyright form, you can find at https://icestconf.org/copyright-form/. You will be redirected to the IEEE Copyright submission site and a wizard will guide you through the process. A traditional copyright form with signature is not requested as it is replaced with the web form.

IV.    Upload Your Final Paper

The final paper should be uploaded in .pdf format and in the original .doc format (name files using the paper ID: ICEST-2026-XXXX) through Easy Chair submission system: https://easychair.org/conferences/?conf=icest2026 no later than June 08, 2026.

Instructions for submitting an updated paper in EasyChair

  1. Go to EasyChair and log in with your account.
  2. Select the conference where you submitted your paper.
  3. In the menu, click on the loupe mark under View to open your submission.
  4. Look for the option “Update files” on the submission page.
  5. Upload your revised paper (PDF format, DOC format and PDF eXpress approval).
  6. Look for the option “Update Information” on the submission page.
  7. Select the type of your presentation “ORAL” or “POSTER” (Obligatory!)
  8. Look for the option “Update authors” on the submission page.
  9. Select the person who is going to attend the conference and present the paper – Presenter (Obligatory!).
  10. Check that the new file is listed correctly.
  11. Confirm and save your changes.

V.    Registration Fee

Information regarding registration fee payment can be found on the official ICEST 2026 website (https://icestconf.org/registration-and-payment/ ).

A regular paper that is not covered by registration fee will not be published in the Conference Proceedings.
